MANAGEMENT REPORTS

Coutts Management Reports may be produced using a range of parameters, including the ability to select Approval, Standing Order, Firm or All order types and flexible date parameter selection. Generated reports are produced automatically and will be e-mailed promptly to the designated user. Note that processing time may be extended where a request is for a particularly lengthy or detailed report; this is particularly true of the ‘Profiles’ report which sometimes exceeds some eMail system message size limits. NOTE: Currency field – where a report includes this field, make sure it is set correctly.

Further development of new reports is planned and we welcome comments/suggestions which can be made using the Feedback form available under Help & Support in the OASIS menu.

Purchases By Fund

Provides an analysis of purchases by library fund (if provided to Coutts). Gives totals shipped, returned and acquired by quantity, percentage and cost (invoiced price). A choice of report by statistical summary or title detail is available. This report also summarizes open orders and financial encumbrance (commitment).

Purchases By Classification

Provides an analysis of purchases by LC or Dewey classification. Gives totals shipped, returned and acquired by quantity, percentage and cost (invoiced price). A choice of report by statistical summary or title detail is available. This report also summarizes open orders and financial encumbrance (commitment).

Purchases By Publisher

Provides details of the number of titles purchased from individual publishers for Approval Plans.

Purchases by Interdisciplinary and Geographical Studies

Provides an analysis of purchases by interdisciplinary subject terms assigned by Coutts selectors, such as Aboriginal/Native Studies, Black Studies, or Environmental Studies. Gives totals for books shipped and returned, with net totals for quantity acquired and cost, plus average net price per book. A choice of summary report or title detail report is offered. This report also summarizes financial encumbrance from open orders.

Profiles

This allows you to print a copy of your current Book or Slip profiles.

Books and Slips Comparative

This customer specific report compares the number of Books and Slips sent against total Coutts Approval/Slip Plan output, by classification.

Activity Snapshot

The Activity Snapshot Report is a static view of titles currently on the following OASIS New Titles menus: Slip Notifications, Approval Books Selected, Review Approval Books, Review Approval Rejects, and On Hold for Alternate Eds. It will be useful for any library with a Slips profile or Approval Plan profile, in order to see the volume and ownership of outstanding slips; to gauge overlap among profiles; to analyze Approval 'Rejects'; to estimate final expenditures near the end of a fiscal year; and for other purposes. Data can be viewed in a variety of different ways, including OASIS user, profile, publisher, Library of Congress or National Library of Medicine subclass, Dewey classification, print/eBook format, and others. This report offers a Summary view, presenting data, and a Title Details view, which presents lists of actual titles. (The Title Details view does not display Slip Notifications, due to the potential size of that report.)

Returns Activity

Provides a summary by LC Classification giving numbers of items returned and their value. A more detailed analysis may also be requested.

Profile Analysis

Shows the number of books and slips provided to the library, by profile; also the percentage of Coutts’ total approval plan output covered by a profile within user-defined subjects, and the percentage of Coutts’ output acquired by the library. A title detail option returns a list of titles not covered by the profile, with reason for exclusion.

Coutts Approval Centre Coverage

Details the total number and value of titles treated by selected Coutts Approval Centers.

Standing Order Account Status

This summary report provides a complete listing of the series that your library has on Standing Order with Coutts. The detail option will provide last volume shipped information in each of the series.

Standing Order Delivery Detail

This detailed report provides a complete listing of the series that your library has on Standing Order with Coutts and includes details of each individual volume shipped including invoice information.
